How do I pay my share of employee benefits?

The cost to the employee for coverage of particular benefits is paid through payroll deduction or reduction (before tax payments).

Full-time faculty on academic year contracts and on the August through May payroll schedule must make arrangements to pay the employee contributions to continue medical, dental and other insurance (e.g., AD&D, supplemental term life insurance, dependent term life insurance, AFLAC) coverage during the summer. Deduction of the employee contribution from payroll during spring semester as well as a “cash pay” option is available to faculty who wish to prepay and continue insurance coverage during the summer. Faculty with summer pay from research supplements, teaching, or administrative stipends may choose to have their employee contribution deducted from their special summer pay. Contact your benefits office to make arrangements.

Employees who are paid monthly pay for benefits in 12 equal monthly deductions. Employees who are paid biweekly pay for benefits in 24 equal deductions; these deductions are taken the first two pay periods each month. Payroll deductions for employee benefits pay for the following month’s benefits coverage. More about how these deductions work is available online at www.usc.edu/payroll.

Your check stub or eTrac pay information itemizes earnings, taxes, deductions and reductions, including both the employee and employer contributions for any university benefit or service. If you have setup direct deposit for your pay you will receive an e-mail prior to each payday, which notifies you when your pay information is available on eTrac. Information is provided for the current pay period as well as calendar year-to-date totals. If you’ve setup direct deposit and would rather receive a paper payroll advice slip, log onto eTrac, go to “Work Information” and request delivery to your home department coordinator. Contact your home department coordinator if you have questions regarding salary deductions or reductions.

Use eTrac to See Your Benefits Summary

Did you know you can get a summary of your employee benefits on eTrac? Information is available about your health, dental, and life insurance coverage. If you are contributing to the USC Retirement Savings Program, you can view your deduction amounts and your maximum allowed annual contributions. You can also enroll or change your retirement plan contributions as well as your Health and Dental plans.

The eTrac service is easy to use even the first time. Go to www.usc.edu/eTrac and create a PIN. Having your recent pay stub or payroll advice slip handy (or ask your Home Department Coordinator for your home department code) can help you set up a PIN. Then just log in. From the eTrac main menu, click on “Benefits Inquiry” to see your benefits summary, or click on “Benefits Enrollment” to enroll or change your retirement plan contributions, Flexible Spending Account (FSA), Medical or Dental plans.
