Kuali
– Financial System and Workflow (KFS and KEW)
The USC Kuali Financial systems include both financial and workflow processes. The general ledger processes as well as many other financial processes are gradually being moved from the existing USC legacy systems to the Kuali format. All Kuali processes are paperless and include the Kuali workflow component, which applies business rules and routes documents electronically through an approval process, recording all approvals and disapprovals with the transaction data. Access to log in to the Kuali menu is automatic for all employees, and it is done through the employees USCNetID. Specific roles and permissions must be assigned for the end user to access the processes needed. Some access is automatically inherited from other data feeds, and for others the end user applies for specific roles.

The Budget Administration System --
WEBBA
The Budget Administration System is
the all inclusive financial system that provides
authorized users access to all aspects of their accounting data and the
corresponding Purchasing and Accounts Payable "Business Office"
detail. This system allows users to review account status, print reports,
create Paperless Requisitions and Paperless Check Requests, use FORM Processing
to create requisition and check request forms on-line, and use the Quick
Expense process for Travel and Non Travel reimbursements.
Access to the Budget Administration
system is available upon approval to USC
employees responsible for administering day to day account activity. Various
types of access are provided, from basic inquiry with report and forms
generation, Expenditure Cards with approval authority, Paperless Requisitions
for Purchase Orders, and Paperless Check Requests. Access to special features,
such as budget changes, can also be provided to approved
users. All access requests and changes to access require authorization from the
Senior Business Officer of the center. Access and training are provided through
FAP.

The Data Warehouse System

The Data Warehouse is a web-based
data retrieval system, which allows the authorized user to access raw data from
the Financial System that is not pre-formatted into reports or screens. The
user can then refine their data selections for their needs, choosing fields for
the display and for sorting the data. These "personal sets" as they
are called can be stored for future use, and can be altered by the user,
resulting in their own personalized reports for display or for downloading.
Most data in the Data Warehouse is updated monthly after monthend
closing.
Access to Data Warehouse is recommended for SBO's and their budget analysts who
would require access to data for entire programs or centers or numerous
accounts. It is not recommended for beginners or those who only need access to
a few accounts. Access is available for approved users only after they
have attended DW training, which is combined with FDL training.Users
of DW must already have active access to the Budget Administration System.

Data Warehouse

FDL -The Financial Download
System

(telnet access only)
The Financial Download System is
also a data retrieval system, which allows the authorized user to access raw
data from the Financial System. In contrast to Data Warehouse, FDL provides the
data in already formatted views or "canned" reports, which can only
be downloaded through FTP to the user's workstation. Most data in FDL is
updated daily. The data can be downloaded in one of three compatible formats,
and can then be imported into the appropriate spreadsheet or other program. At
present the user interface is still using telnet.
Access to the Financial Download
system can be obtained only after the
applicant attends FDL training, which is combined with the Data Warehouse
training. Like the Data Warehouse, this system is recommended only for those
who need access to large amounts of data, and is not recommended for beginners.
Users of FDL must already have active access to the Budget Administration
System.

WEBBDS-The Budget Development System
System

is open April - August only.
The Budget Development System allows
the USC Senior Business Officers and their designated assistants to develop
on-line the annual budgets for their centers. The detailed unrestricted account
budgets are entered into WEBBDS, and the detail is balanced to the control
budgets. Payroll detail is also entered into WEBBDS. Both the payroll and the
detail budgets are then downloaded from WEBBDS at yearend, and are then
available as the new budgets and the new payroll when the new fiscal year
begins.
Access to the Budget Development
System is restricted to the SBOs and their
designated assistants, and is available only in the spring. All new users must
attend mandatory training for WEBBDS. This system is used after the initial
budget forecasts and approvals have been created with the help of TBO, the
Budget Online, the web-based system that is provided through the Office of Budget and Planning.
