Outlook Express 5.x
This document details configuration specific to using email.usc.edu in Outlook Express 5.x.
Setting Up a New Account
If you are using Microsoft Outlook for the first time, the Internet Connection Wizard will automatically begin and you should skip the first two steps listed here.
- From the Tools menu, select Accounts
- In the Internet Accounts window, click on the Add button and select Mail...
- In the field Display name, enter your full name, and press the Next button.
- Select the option I already have an e-mail address that I'd like to use, and enter your e-mail address. Your e-mail address should be in the format username@usc.edu
- Click on the Next button.
- For the My incoming mail server is a: field, please select IMAP
- For the Incoming mail server field, enter: email.usc.edu
- For the Outgoing mail server field, enter: email.usc.edu
Note: If your Internet Service Provider is not USC, then you will need to enter the SMTP server of your provider. If you do not know the name of the server, you will have to contact your provider for that information. - After supplying outgoing mail server, click the Next button.
- For the Account name field, enter your login name. This should be the same as your e-mail address, without the "@usc.edu" suffix. (For example, if your e-mail address is ttrojan@usc.edu your username is ttrojan
- You may choose to save your password in the Password field and click the checkbox marked Remember password.
Note: It is recommended that you do not save your password if multiple people have access to your computer. - Click on Next button and then click on the Finish button to close the Internet Connection Wizard window.
- Click on the Close button to close the Internet Accounts window.
Re-configuring Outlook to Access email.usc.edu
If you already have your mail account set up,follow these steps to configure Outlook for the new settings:
- From the Tools menu, select Accounts...
- A dialog box will appear. Click on the Mail tab, and select your account and click on the Properties button.
- Select the Servers tab.
- In the Incoming mail (POP or IMAP): field, enter email.usc.edu
- In the Outgoing mail (SMTP): field, enter email.usc.edu
Note: If your Internet Service Provider is not USC, then you will need to enter the SMTP server of your provider. If you do not know the name of the server, you will have to contact your provider for that information. - Supply your outgoing mail server, and press the Next button.
- Click on the OK button to save the changes, and click on Close to exit the Internet Accounts window.
Configuring Outlook Express for USC Wireless connections
In order to send e-mail using an on-campus wireless connection, Outlook Express must be configured to use authentication.
- Click on the Tools menu, and select Accounts...
- Click on the Mail tab, highlight your account, and click on the Properties button.

- Click on the Servers tab. Change the entry in the Outgoing Mail (SMTP) field to email.usc.edu
- Check the box labled "My server requires authentication" and click on the Settings... button.

- In the Outgoing Mail Server window, select the "Use same settings as my incoming mail server" option, and click on the OK button.
- Click on OK to close the email.usc.edu Properties window, and Close to close the Internet Accounts window.
Subscribing/Unsubscribing to Folders
If you check your e-mail for the first time, you may have noticed that some of your mail folders have disappeared. If this is the case, you will need to remap your folders in order to see your previous mailboxes. Or, if you have e-mail stored in other folders (other IMAP folders besides the Inbox) that you want to view, you may need to subscribe to them.
- Click on the Tools menu, and select IMAP Folders...
- To subscribe/unsubscribe to a mail folder, select the name from the listing and press the Subscribe/Unsubscribe button accordingly. Subscribed folders will have a folder-envelope icon placed next to them.
- Once you have finished configuring the mail account, press the OK button to close the IMAP Folders window.
Creating New Folders
To create a new IMAP folder:
- Click on the File menu, select Folder, and select New...
- In the Create New Folder window, enter a new folder name, and select where you wish to create the new folder. For most IMAP users, this will be the name of the IMAP account, and the folder will be created on the mail server.
- To create a folder on your computer, you may select Personal Folders from the Outlook Folders tree.
- Click on the OK button to create the folder, and the Create New Folder window will close.
Reading Mail
Clicking on a message on the message listing will cause the contents of the message to display on the Preview Pane, a window below the message listing. By default, the Preview Pane should be visible. If the Preview Pane is not active, you activate it by going to the View menu and selecting Preview Pane. If the Preview Pane is not active, or if you want to open the e-mail message in a new window, double click on the message to view it.
To view the contents of another IMAP folder, click on the name of the folder on on the Outlook Folders tree. This will change the message listing to reflect the contents of the selected folder.
Sending Mail
To create a new e-mail message:
- Click on the New icon, or click on the File menu, select New, and select Mail Message. This will open up the New Message window.
- In the To: field, enter the e-mail addresses or Address Book names of the direct recipients of the e-mail.
- In the Cc: field, enter the e-mail addresses or Address Book names of the copy-to recipients of the e-mail.
- In the Subject: field, enter the subject of the e-mail.
- Type the contents of your e-mail message in the message body.
- To attach a file to your e-mail message, click on the Paperclip button, or click on the Insert menu, and select File... In the Insert File window, select the file that you want to add to the message, and click on the Insert button.
- Once you have completed your e-mail message, click on the Send button, or click on the File menu and select Send to send the e-mail.
Responding to a Message
Once a message has been recieved, you may choose to either reply to the sender and/or the message recipients, or forward the message to another person.
- To reply to the sender of an e-mail message, click on the Reply button. To send a reply to all recipients of an e-mail message, including all Cc: recipients, click on the Reply to All button.
- By default, replies contain the same subject with a RE: prefix, and include the original message text in the body of the message. You may edit any of the fields as necessary.
- To forward a message to another person, click on the Forward button. Forwarding a message will create a new message with the original subject prefixed by FW: and the original message text in the body of message. You will need to specify the new recipients of the message.
Deleting a Message
Deleting messages in an IMAP account is a two-step process: messages must be marked for deletion and then purged from the system.
To delete a message:
- Select the message and click on the X button. Outlook will display the word "Delete" if the mouse is left over the button for a few seconds.
- Click the Edit menu, and select Purge Deleted Messages.

By purging messages marked for deletion, you will remove the messages completely from the mail server.
Note: Purging deleted messages causes the messages to be permanently deleted, so this action cannot be undone.
Saving Messages
You can move messages from one IMAP folder to another IMAP folder on your account; this can be done to sort messages that you've received.
To save a message in another folder:
- Right-click on the message you want to move and select Move To Folder... Or, you can select the message from the listing, click on the Edit menu and select Move To Folder...
- In the Move Items window, select the IMAP folder that you wish to move the message to from the Outlook Folder tree, and press the OK button.
