Reservation Process
Reservations for general-use multimedia classrooms and auditoria involve a two-step process: one to reserve the classroom and one to reserve the AV equipment.

  1. If a room has not already been reserved for your class, a reservation must first be submitted to the university through your academic scheduling coordinator. The coordinator will then request the room through the normal scheduling process. For questions, please call Classroom Scheduling (Ext: 04612).
  2. After the room has been reserved, please submit a multimedia reservation request through the ITS website for the necessary AV equipment:
    • Use this form for classes.
      (Classes must be listed in the university's official Schedule of Classes.)
    • Use this form for special events.
      (Special events include one-time occurrences that take place outside of the scheduled class period, such as guest lectures or films; these events are not listed in the university's Schedule of Classes.)

Request Requirements

  • Requests should be made no later than 48 hours prior to required use of the equipment. Walk-in or phone request for equipment cannot be accommodated.
  • Multimedia reservations are handled during our normal weekday office hours. Evenings and weekends require a minimum of 48 hours' notice as staffing must be specially arranged. No evening walk-in or last minute requests will be accommodated.
  • Requests for multimedia support and service outside of normal hours for access, delivery and pickup of equipment must be preapproved and are subject to our current hourly support charge of $125/hour with a 1-hour minimum. This does NOT include a dedicated technician. An account number to charge for an out-of-normal hours request must be provided at the time the request is made.
  • Requests for equipment reservations that fall short of the 48-hour lead time will be processed on a first-come, first-serve basis. These requests are subject to equipment availability, the setup time to accommodate the request, and the availability of the ITS Multimedia Support Staff.

ITS will respond with an email confirmation or denial of services within 48 hours of all requests received. Telephone and walk-in multimedia equipment reservations cannot be accommodated.

Note: Requests for additional equipment, not part of the initial request, will be serviced based on availability of equipment, staff, and setup time required. Also, requests for service and support when class is not in session may vary, based on the type of request received and availability of staff and equipment.

In order for us to serve your multimedia needs, your department must first have a signed Service Level Agreement on file with us, and your department Multimedia Coordinator(s) must submit an Authorized Users List to us. We also request that read our list of User Responsibilities.
